Manage Staff

Add staff members, assign roles and departments, configure shift schedules, and view who is currently on duty in Cloud Sentrics Healthcare Management.

Add and manage your facility's staff members including their roles, departments, shift schedules, and branch assignments.

Add a Staff Member

  1. Go to Staff Management from the main menu.
  2. Click Add Staff.
  3. Enter the staff details:
    • Full Name
    • Role (e.g., Doctor, Nurse, Pharmacist, Lab Technician)
    • Department (e.g., Outpatient, Surgery, Pharmacy)
    • Branch (if multi-branch facility)
    • Contact Information (phone, email)
  4. Click Save.

View and Update Staff

  1. Go to Staff Management to see the full staff list.
  2. Click on a staff member to view their profile.
  3. Update their Role, Department, Branch, or Status (Active/Inactive) as needed.
  4. Click Save to apply changes.

Shift Schedule

When Shift-Based Access Control is enabled, each staff member's profile includes a Shift Schedule section:

  • Allowed Days — days they can login (e.g., Mon, Tue, Wed, Thu, Fri)
  • Shift Start — earliest login time
  • Shift End — latest login time

To configure or update a shift:

  1. Open the staff member's profile.
  2. Click 🕐 Edit Shift.
  3. Choose "1 = Update Default Schedule" to set their permanent shift, or "2 = Add Temporary Override" for a shift swap with an expiry date.
  4. Save the changes.

Temporary overrides take effect immediately and automatically expire on the set date.

Staff On Duty

At the top of the Staff Management tab, a collapsible 🟢 Staff On Duty section shows which staff members are currently within their shift hours. It displays:

  • Staff name
  • Department
  • Branch
  • Shift end time

This view updates live based on the current time (WAT, UTC+1) and respects both default schedules and active overrides.

Tips

  • Inactive staff members cannot be assigned to appointments or consultations.
  • Use filters to view staff by department or role.
  • If shift fields are left empty, no time restriction is applied to that staff member.
  • Admins are never restricted by shift or branch controls.
